Creating jobs from CAT tools and analysis files

            OVERVIEW

When a job is created, you can export analysis report or simply create a job on the base of data from CAT tool database. BaccS will try to load as much data as possible. And in ideal case, it won't be necessary to manually edit even single field. The list of data being pre-filled when importing a project from memoQ and Trados:

            MemoQ

            Trados

            • Creation date
            • Deadline
            • Status is set to 'Processing'
            • Client name (searching in short name or full name)
            • Client contact (previously used PM)
            • Currency (currency is set on the base of previous project for the same client or default currency is used)
            • Work field (with category, on the base of Domain and/or Subject fields)
            • Job name
            • Main project (on the base of Domain or Subject fields)
            • Language direction
            • Path to source files on disk
            • Job details: one row is created according 'Weighted wordcount' value from memoQ, with 'Translation' work type, 'Words' unit and 'No match' fuzzy type applied with default prices picking from your price list
            • Creation date
            • Deadline
            • Status is set to 'Processing'
            • Client name (searching in short name or full name)
            • Currency (currency is set on the base of previous project for the same client or default currency is used)
            • Job name
            • Language direction
            • Path to source files on disk
            • Job details: full fuzzy breakdown or one row with average quantity

Thus, if all these fields will be filled correctly, especially job volume and price (just create general default price or price for the client), than you will get all job details and final amount after clicking OK button!

            WORKFLOW DESCRIPTION

Start with creating a new job. It can be empty or cloned from previous job. Then click Import data from CAT tools on the ribbon in the job editing from. You will see selection list containing three elements:Analysis file, Trados direct and MemoQ direct.

            ANALYSIS FILE

This option allows to import data from analysis file generated by one of CAT tools supported by BaccS: SDL Trados (XML files), Kilgray MemoQ (csv), Deja Vu X3, Lionbridge TranslationWorkspace.

In the appeared window, select desired CAT tool and then analysis file. Click OK, and analysis results window will be opened:

There are four parameters. Import type allows to select what you want to import: all fuzzy types as separate rows or calculate average volume and import it as a single row. Default fuzzy type, work type and Unit values will be used when importing analysis data as average volume. Explanation: BaccS will create one row in the job details table and fill-in values provided in these three boxes.

If you need to convert analysis data to lines, use Convert to lines panel: mark check-box, specify number of characters in line and select a unit which corresponds to "Lines".

In the Analysis results table you will see full fuzzy breakdown (if available) of the imported project. It is necessary to select Fuzzy type for each row, otherwise import will be impossible. Each CAT tool has own definitions of fuzzy types, so BaccS may not always pickup corresponding fuzzy types automatically. In most cases, it will do this, but if any cell in the Fuzzy type column is empty, please select corresponding fuzzy type from the drop-down list. Once correspondence is specified, next time it will be set automatically.

When done, click OK at the bottom and you will get job details table filled according set preferences. The program will try to pickup prices for each created row. If you already selected customer in the job, an attempt will be made to pick-up customer's specific prices. Otherwise, general prices will be applied.

            TRADOS DIRECT

This option allows to import data directly from SDL Trados database. Of course, this tool must be installed on your computer to make this feature working.

Initially, check Path to Trados projects files parameter. On the first launch, BaccS fills it with default value, which may not work on your system. In this case, please select actual projects.xml file location and clickRefresh list of projects button.

Then select desired project (you may sort the lit by any column and use search panel to quickly find desired project) and click OK. Analysis results window will appear (see description above).

            MEMOQ DIRECT

If to select MemoQ direct option, you will see the following window:

No need to specify location of the projects, since BaccS detects it automatically. Here you have to specify meaning of the Subject and Domain fields presented in MemoQ. Different users employ these fields differently, so here you may specify your approach.

Again, select MemoQ project and click OK. The same analysis results window will appear, where you can select final options. The only difference here is that MemoQ direct import does not support fuzzy break-down importing. Only average word count is supported.
